Why Asset Management is critical

In the regulated environment, heat networks will have to appoint specific duty holders who will have the responsibility of meeting requirements, so it important that roles and responsibilities are clearly outlined.

“Often there are unclear roles and responsibilities at handover, meaning O&M duties fall through
the gaps. Potential defect claims are lost, issues are poorly diagnosed, and actions taken worsen
the problem, rather than fixing it.”

Heat networks can also deteriorate rapidly without proactive care.

As Joe Shanley, Consulting Engineer, puts it:
“All equipment has a finite lifespan. Without proactive maintenance, that lifespan reduces
and failure rates increase, often without warning.”

The root causes of failure are often consistent across the industry: ignored water quality,
lack of monitoring, incomplete servicing and fragmented O&M responsibilities.

Ethan captures it sharply and comments:
“Set-and-forget has been one of the industry’s biggest pitfalls. Residents move into brand-new apartments expecting reliability, but within a few years networks without proactive maintenance can fail prematurely.”

When operation and maintenance is properly managed, clients can move from chaotic reactive maintenance, to structured, proactive planning — regaining control of cost, risk and performance.

What O&M management actually means

“We get to site quickly, assess asset condition, analyse any available data, and score the severity of all risks affecting the heat network operation. The site then receives an overall rating, following this we can put in place a plan showing how to progress towards compliance.”

Stabilisation often involves:

  • Identifying immediate threats to heat network life, such as addressing leaks and minimising raw-water top‑up.
  • Restoring or introducing automatic control, as overridden controls has led to equipment running inefficiently or in a manner that reduces its expected lifetime.
  • Establishing a robust water quality strategy, including sampling so that deterioration in water quality can be remedied before it has a significant impact on overall heat network health.
  • Servicing of key equipment, so that faults can be identified and rectified before they require more severe and costly rectification.
  • Implementing metering systems and monitoring KPIs, enabling issue diagnosis remotely and reducing the amount of costly callouts.
  • Stabilising flow & return temperatures, improving both system efficiency as well as system reliability for residents.

Urgent support vs long-term strategy

Urgent issues don’t wait – especially in Winter. Joe puts it plainly:
“Often urgent site support can take priority; this is understandable if people are without heating
and hot water.”

But quick fixes must still align with long‑term goals. Andrew highlights the risk:

“Immediate pressure can cause people to jump to conclusions, and propose measures that may be disproportionate to the issues. Our job is to challenge assumptions and ensure all measures actually help fix the issues present.”

Team coordination is essential during busy periods. Ryan notes:
“Working closely and documenting knowledge means others can fill gaps when deadlines and more reactive works hit.”

Quieter times, often in Summer, can becomes a strategic window. Felix explains:
“We use the lower heating demand in summer for annual servicing and major PPM works.”

Staying ahead of new regulations

With new standards on the horizon, clients need clarity. The Asset Management team helps by:

  • Reviewing O&M documentation and contractor standards
  • Implementing PPM and water treatment aligned with HNTAS requirements

“We help give clients an understanding of their starting point through our onboarding assessments, from here we can help advise on the steps they will have to take to becoming a compliant network, and support them throughout.”

Andrew notes that the focus shouldn’t only be on regulations:
“While compliance with HNTAS represents the latest hurdle to overcome, a lot of our team’s advice is based on good industry practice which should be in place already, which should hopefully make this journey easier.”

Everything ultimately comes back to resident experience. Andrew articulates it well:
“Our recommendations primarily combat risks to heat and hot water delivery.
Preventing premature failure and providing emergency support directly protects residents.”
